When «That’s just how we do it» no longer works

It usually doesn’t start as a big problem.

Businesses don’t operate in a vacuum. Customers expect different things, technology moves on, markets shift, new ways of working appear, and what once worked perfectly well can slowly become awkward, inefficient or simply no longer fit the world the business operates in today.

Processes evolve too — or at least they should. The trouble starts when the business, or the world around it, changes but the way of working doesn’t.

When the usual way of working starts to feel less reliable, the first instinct is often to do more. Add another check. Another step. Another safeguard. Something that makes it feel as though things are back under control.

Sometimes it helps for a while. But sometimes those extra steps are added simply because something feels wrong and nobody is quite sure what to do instead. The process gets more complicated, there’s more work to keep on top of, and the original problem is still there.

At some point, adding another fix stops making sense. The process itself may need looking at again. Not because it was always wrong, but because what worked before may not work as well now.

And that’s not always easy. People get used to doing things a certain way. Changing it is uncomfortable — especially when you can see that something needs to change but you can’t yet see what the alternative looks like. That’s when a business owner can start thinking the problem is the business itself: maybe it’s time to cut back, sell, or even close. Sometimes the business itself isn’t the problem. What’s missing is a clear view of what has changed — and what to do next.

So what does that look like day to day?

Something feels harder than it should - even if it’s difficult to point to one obvious problem.

Simple tasks have somehow become complicated.

Nobody is quite sure where the real problem starts.

Too much effort goes into keeping things moving.

That’s usually the point where doing more stops making things better.It’s time to step back and look at how the whole thing fits together — what has changed, what still makes sense, and what no longer does.

Before deciding what to change, it helps to understand what’s really going on.

Sometimes technology is exactly what’s needed. Sometimes it just adds another layer.

That’s why I don’t start with software. I start with the business.

From there, we can work out what needs to change, what should stay — and what to do about it.
